The ultimate guide to an efficient Outlook inbox and email overwhelm.
Does your inbox make you want to cry into your morning coffee? Are you wasting half the day just trying to find that one email? Well don't chuck your laptop out the window just yet, friend. With my handy dandy guide, you'll have that inbox organized and sparkling in no time at all.
Let's not let those endless emails get the best of us. We run businesses to live life to the fullest, not be chained to our inboxes! Follow these tips and reclaim your freedom: (These tips are given using the website version of Outlook)
⚡ Use Folders
- In the Folders pane, right-click Inbox and select New Folder
- Name folders logically based on projects, clients, topics etc.
- Drag and drop relevant emails into the appropriate folder
Creating specific folders is key for filing emails away neatly. Forget boring names, get creative! How about "Procrastination Station" for low priority stuff or "Feckin' Important" for... well... important things!
⚡Apply Category Tags
- Right-click an email and select 'Categorise' from the menu
- Choose a color category and name it something like "Action Needed"
- The category appears next to the email in your inbox
- Create new categories under Categorise->All Categories
Next up, sprinkle some colour on those emails like rainbow confetti! Use categories to turn your inbox from dull grey to a beautiful mess of colour. Colour coding helps your brain view each email as a little sticky note. Red ones scream "OH NO need to answer ASAP!"
⚡Set Up Rules
- Go to Manage Rules & Alerts and select New Rule
- Pick criteria like sender, subject keywords, etc.
- Select the action like move it to a folder
- Name the rule and click OK
Now set some rules so Outlook can be your little helper! "If Joe Bloggs emails me, move it to the 'Clients' folder" or "If subject has the word 'invoice', I better not ignore that one, file it to 'Accounting'." Outlook will automatically keep things organized in the background.
⚡Archive Old Emails
- Select emails you no longer need regular access to
- Click the Archive icon or go to Move->Archive
- This removes them from your inbox but still stores them
Don't let old stuff clutter up your inbox forever - archive away! Click archive and let those outdated emails retire to the Cotswolds where they can play bingo to their heart's content. Out of sight and out of mind.
⚡Limit Folders Shown
- In the folders pane, click "Folder List Settings"
- Uncheck folders you rarely need to limit info overload
- Click OK to apply the new streamlined view
Limit your folders too so you don't get overwhelmed! If you only regularly use 5 out of 25 folders, put the others out of sight. Less choices makes your inbox easier to handle!
⚡Sort by Date or Sender
- Click the column headings like Date or Sender in your inbox
- This will sort emails chronologically or alphabetically
There’s no need to scroll for 6 years to find an email. Just use Search! Type a keyword, hit enter, bam - email found instantly. It's email magic! Now, you might be thinking, 'Well duh Carrie!' - But you would be surprised at the amount of people I've had to show that even WhatsApp has a chat search feature in each chat - So now, I say the obvious. Just because it might be obvious to us, doesn't mean it is to everyone.
⚡ Use Search
- Type keywords like names or subjects in the Search box
- This allows you to instantly find relevant emails
⚡ Last but not least, flag emails that need action later so they don't get lost in the abyss. Right click, add a flag, set a reminder. Boom! Now your future self will be thanking you.
Phew, we did it! Your inbox is sharper than my other half in his blue suit (and that's pretty difficult).
Take a sip of tea, you earned it. And let me know if you have any questions! I'm always here to talk all things inbox organization and email and diary management.
Remember - If you have read this and think this seems awesome and will make my life 10x easier - but I can't be ars*d! That's what I'm here for. I can do this for you, check out my email inbox detox package at www.carriebollandva.co.uk/services
